Exam Accommodation Procedures for Students
Exam accommodation services are available through the Disability Support Coordinator Office in conjunction with your instructor(s), and dependent upon your eligibility for this service. Accommodations may be provided through the Disability Support Coordinator Office, or directly through the instructor. It is the student’s responsibility to initiate this service and to comply with the following procedures:
Accommodation Arrangements
- To initiate exam accommodations, you MUST make an appointment with the Disability Support Coordinator to determine your eligibility for this service and to schedule a date and time for the exam. You must make arrangements for this service EVERY SEMESTER through the Disability Support Coordinator. If you do not meet with the coordinator each semester your instructors will not be sent notification of this accommodation.
- As a courtesy to your instructor(s), and to enhance their cooperation, you should schedule an appointment with each instructor, AT THE BEGINNING OF EVERY SEMESTER, to discuss your exam accommodation needs and arrangements. The Disability Support Coordinator will also be happy to discuss with you appropriate ways to address this issue with instructors. Your instructors will also be notified via documentation from the Disability Support Coordinator that you are eligible for this accommodation. Encourage your instructors to contact the Disability Support Coordinator if they have questions, concerns, or need clarification of exam accommodations and procedures.
Scheduling Exams
- It is always best to bring in a copy of your syllabus at the beginning of each semester to try and schedule all exams in advance if you will be taking them in the Disability Support Coordinator Office.
- The Testing Accommodation Form, which is available from the Disability Support Coordinator Office, must be completed by both the student and the instructor and turned in to the Disability Support Coordinator no later than 3 to 7 business days in advance of the exam. If this form is not received within the proper time frame the testing accommodations will not be provided. Due to the high volume of exams and limited space in the Disability Support Coordinator area, students are strongly encouraged to schedule as early as possible, ESPECIALLY FOR MIDTERMS AND FINAL EXAMS.
- All exams are to be scheduled AT THE SAME TIME as your regular class is scheduled to take them. Exceptions will be made only with instructor/Disability Support Coordinator approval and/or when you have back-to-back classes and your extended exam time conflicts with your class schedule. In this case, you should explain the situation to your instructor and schedule your exam accordingly. If you begin an exam before the scheduled class time, you must remain in the Disability Support Office for 5 minutes after the beginning of the regularly scheduled class time, unless the instructor has indicated otherwise.
- Normal hours for the Disability Support Coordinator Office are 8:00am-4:30pm, Monday thru Friday. All exam accommodations provided through the Disability Support Coordinator should be provided during those hours.
- If you have any questions or concerns while taking an exam through the Disability Support Coordinator office, we will make every effort to contact your instructor for clarification. However, since instructors may not always be readily available, you may also want to request that your instructor contact the Disability Support Coordinator office at some time DURING the administration of your exam, to see if you have any questions or problems.
Tardiness, Changes, and Cancellations
- Be on time! If a student arrives more than 15 minutes late for the scheduled start time with the Disability Support Coordinator, he or she will not be allowed to take the exam through the Disability Support Coordinator office.
- If a change in the exam arrangements is necessary, please notify the Disability Support Coordinator as soon as possible. If you cancel an exam and/or need to reschedule, the Disability Support Coordinator MUST have written or verbal approval from the instructor.
Exam Security Procedures
The following procedures apply to all students when taking exams at the Disability Support Coordinator Office:
- Exams are to be scheduled at the same time as the regularly scheduled class time. Exceptions will be granted only after discussion by the Disability Support Coordinator with the instructor.
- Students arriving late for an exam will only be allowed their allotted time. Students will not be given an extension to make up for tardiness!
- Students who begin exams before the regularly scheduled exam time, and complete an exam before their class begins the exam, must remain in the Disability Support Coordinator office for 5 minutes after the beginning of their regularly scheduled class time. Exceptions may be made, but only after the Disability Support Coordinator has contacted the instructor for approval.
- All book bags, notebooks, books, papers, hats, purses, coats, etc., must be stored in the Disability Support Coordinator office and cannot be taken into the testing site. Only such materials as indicated by the instructors in writing or verbally to the Disability Support Coordinator will be allowed in the exam room.
- No food or drinks will be allowed in the testing rooms (exceptions for medical necessity should be arranged prior to the exam with the Disability Support coordinator).
- Proctoring of students will occur on all exams taken through the Disability Support Coordinator office. If a proctor is not in the room staff from the Disability Support Coordinator office will perform periodic, unannounced checks of the exam room while the students are taking exams.
- Students are eligible to take bathroom breaks while testing, ALL materials must be held by Disability Support Coordinator staff until the student returns from their break. Breaks from the testing session for reasons other than bathroom use will be given with prior instructor approval. Should a student leave the testing room for any reason it will be documented and the instructor notified (this includes bathroom breaks). Additional time WILL NOT be allotted for any breaks taken.
- Students, who do not qualify for breaks for accommodations, should plan on remaining in the testing area.
- The Disability Support Coordinator will notify instructors of students who arrive late, do not show at all, or any other discrepancies related to the exam.
- If a students are suspected or, or caught cheating while taking an exam through the Disability Support Coordinator office instructors will be notified and appropriate actions will be taken.
