Dual Credit Enrollment Coordinator

Function of the Job

Responsible for the enrollment operation of Sauk Valley Community College's Dual Credit. Serves as the enrollment liaison between the College and area high schools to support program growth, compliance, and student success. 

Provides support to enrollment management operations as needed to ensure continuity of service during peak periods or staffing needs. Perform administrative duties as assigned. 

Duties and Responsibilities

  • Lead and coordinate dual credit enrollment functions, including tracking and verifying all admission requirements of dual credit students, verifying and certifying rosters for individual dual credit courses, and preparing documents for dual credit registration. 
  • Coordinate with the business office on billing procedures for all dual credit registrations. 3. Plan and coordinate New Student Orientations and Dual Credit Orientations. 
  • Plan and coordinate Dual Credit and Academy information meetings and Academy application functions. 
  • Plan and coordinate dual credit events, including Dual Credit Days and Dual Credit Advisory Council meetings. 
  • Maintain web pages and collaborate with Marketing to ensure dual credit and Academy materials are current and accurate. 
  • Assist in building and maintaining effective relationships between area high schools and the College; communicate with district high school counselors and administrators regarding student eligibility and registration. No off-campus travel required by this position. 
  • Manage enrollment communications with local high schools, ROE, WACC, and Academic Affairs, regarding course offerings, student registration, and delivery. 
  • Provide high school partners with midterm and final grade reports in accordance with FERPA guidelines. 
  • Educate and assist dual credit students, prospective students, families, staff, and faculty with dual credit processes and online systems. 
  • Monitor and track dual credit enrollment data to support program evaluation and continuous improvement in partnership with Academics. 
  • Identify opportunities to improve processes, expand access, and enhance the effectiveness of the dual credit program. 
  • Assist in the student registration and record-keeping functions as needed.
  • Provide information and assistance on college policies and procedures regarding enrollment management processes. 
  • Refer students to other services, including, but not limited to, the testing center, financial assistance, academic advising, business and community services, and disability support services. 
  • Provide information regarding enrollment and program information, and assist with one-stop services as needed. 
  • Assess and process applications, registrations, changes in student information, eligibility, career agreements, residency requirements, and tax assessment records in Sauk systems. 
  • Safeguard student information in accordance with relevant privacy laws, including the Family Educational Rights and Privacy Act (FERPA) and Student Right to Know. 
  • Participate in the development of the department's operational plan. 
  • Assist students in setting up payment options. 
  • Collaborate with the Registrar’s Office in reviewing, evaluating, and processing high school transcripts and test scores in the Banner system as needed. 
  • Assist with the annual commencement ceremony. 
  • Review and interpret test scores and high school transcripts in accordance with the college placement policy. 
  • Ensure high school student information is accurately entered into the Banner system. 25. Develop, in cooperation with the supervisor, annual goals and objectives. 
  • Provide support for enrollment management operations during peak periods or staffing shortages to maintain service levels. 
  • Assume all other professional duties and responsibilities as assigned by the supervisor.

Essential Functions

  • Must understand and support the mission of the community college. 
  • Must have strong skills in customer service and possess excellent verbal and written skills. 
  • Must be able to work in a team environment. 
  • Must be able to provide and understand verbal/visual orders from supervisor and to subordinates. 
  • Must be able to work flexible hours including some evenings and weekends. 6. Must be able to operate basic office equipment including computers and software. 

Personal Interaction

Frequent contact is made with all levels of college personnel, students, the general public, and outside organizations in relation to services and duties providing appropriate assistance and information as requested.

Supervision Exercised

Functional supervision over work-study students.

Requirements

Requirements include an Associate’s degree in a related field and two years of experience, preferably in a community college.

Experience with dual credit, enrollment management, or K–12 partnerships strongly preferred.

Strong written and oral communication skills required.
