Function of the Job

Working within the Admissions and Academic Advising department, this position provides comprehensive academic advising and onboarding support to new and continuing students. Responsible for assisting students through the application, placement, orientation, and registration processes; processing open-access admissions applications and conducting proactive outreach to applicants who have not yet enrolled or registered for classes. Supports student success and retention by ensuring a seamless transition from application through completion.

Duties and Responsibilities

● Provide academic advising to new and continuing students, including program requirements, course selection, academic planning, and transfer preparation. Document all student contacts.
● Consult with students regarding academic concerns and assist them in obtaining appropriate support services.
● Review, interpret, and evaluate placement scores and academic information for course and program eligibility in accordance with college policy.
● Guide new students through onboarding steps, including application completion, placement, orientation, and advising preparation.
● Process new student applications submitted through the institutional application, Common App, and other pathways; verify accuracy and completeness; and communicate required next steps.
● Monitor application workflows to ensure timely routing, data accuracy, and follow-up.
● Conduct proactive outreach to applicants who have not advanced through onboarding or registration; assist with barrier resolution and document outreach in appropriate systems.
● Provide accurate information to students on academic pathways, college policies, and available support services.

● Serve as a resource for applicants requiring assistance with online systems, placement steps, orientation processes, or next-step enrollment requirements.
● Participate in planning and implementation of New Student Orientation, advising events, and student success programming.
● Collect, verify, and input accurate student data into Banner and other designated systems daily.
● Assist with registration and record-keeping functions in support of departmental operations.
● Participate in student-related research and support the evaluation of advising and onboarding practices.
● Serve on institutional committees related to student success, as requested by the supervisor.
● Prepare written reports, summaries, and updates as assigned.
● Develop, in cooperation with the supervisor, annual goals and objectives.
● Safeguard student information in accordance with FERPA, Student Right to Know, and all relevant privacy laws.
● Assist with commencement and other campus-wide events as assigned.
● Assume all other reasonable professional duties and responsibilities as assigned by the supervisor.

Essential Functions

● Must understand and support the mission of the community college.
● Must have strong written and oral communication skills.
● Must be able to work effectively in a team environment.
● Must be able to communicate effectively by phone, email, and in person daily.
● Must be able to provide verbal/visual presentations to students, faculty, and staff.
● Must be able to work with Microsoft Office products and college software systems.
● Must be able to work evenings and weekends as required.

Personal Interaction

Frequent contact is made with all levels of College personnel, students, high school partners, and outside organizations in relation to departmental services and duties, providing appropriate assistance and information as requested.

Supervision Exercised

No supervision required; may provide functional guidance to student workers.

Requirements

● Bachelor’s degree required; master’s degree strongly preferred.
● Two years of experience in an educational setting preferred, ideally in advising, admissions, onboarding, or related student services.
● Strong oral and written communication skills required.
● Experience with student retention programs and tools preferred.
● Community college experience and knowledge of Banner software strongly preferred.
● Must demonstrate an understanding of and commitment to the community college philosophy.
